Summary and balance list of G/L accounts

Description

This module is used to call up the totals and balances list. The debit and credit values are displayed for the selected posting period (the so-called period values), cumulated from the beginning of the fiscal year belonging to the posting period up to the specified accrual period or optionally up to the end of the corresponding fiscal year.

Totals of debit, credit and balance values are output across all accounts and additionally separated into balance sheet and profit and loss accounts.

A further option enables the additional output of cost elements posted to a profit and loss account. A difference line is displayed in red if the total of these cost element postings does not match the total costs posted to the P&L account (Find cost element differences).

If this option for displaying the cost elements is selected, you can also determine whether the profit and loss account belonging to the cost elements should be displayed at all.

A double click on a list entry navigates - if period values exist - directly to a list of postings, otherwise to an overview of the period balances of the selected fiscal year. By using the right mouse button you always reach the overview of the period balances of the selected account in the selected fiscal year.

Either over the selected posting period or over the entire fiscal year, you can search for postings where a cost element account has posted to a different P&L account than the one currently stored in the master data of the cost element account.

Such differences always arise when the allocation of a cost element account to its P&L account is changed during the fiscal year. However, the sum of all differences is always zero, since the value missing from the current P&L account is posted "too much" in the previously assigned P&L account.

Either over the selected posting period or over the entire fiscal year, you can check whether the balance of an account does not match the total of the postings to this account.

Such differences cannot actually arise due to the transaction security of the database. Nevertheless, it is basically possible that transaction descriptions are adapted to individual customers and that these are faulty.

Fields
Field Description
Posting period The first time the mask is opened, the posting periods of the current fiscal year are displayed. The current posting period is pre-selected. By pressing the "Posting period" button you can select previous financial years.
Issue accounts without period values Accounts that do not show any values for the selected posting period are also displayed. Otherwise, a list of only the accounts that were posted to in the selected posting period is displayed. (default setting)
Issue accounts without annual values Accounts that do not show any values for the selected financial year are also output. Otherwise, you receive a list of only those accounts that were posted to in the fiscal year.
Outputting cost elements Below each P&L account, the posted cost elements are also displayed with their values. If this option is selected, the next field becomes visible.
: Hide P&L accounts If this option is selected, the P&L account belonging to the cost elements is omitted in the listing.
Company codes If a posting to company codes is planned for the client, the summary and balance list can also be output for individual or several company codes.

If one or more company codes are selected, then you can specify in the next field "deduct" whether the values of the selected company code(s) should be deducted from the client, i.e. you get a client totals and balance list without the values of the selected company code(s)
Accumulated values -
: End of period Cumulation of values from the beginning of the financial year to the end of the selected accounting period.
: End of financial year Accumulation of values over the entire financial year.
List
Column Description
Account Account number/cost element number
Designation Account name/cost type designation
Invalid A stop sign is displayed here if the account/cost element is invalid for the selected posting period and was nevertheless posted to.
Target period Output of the target values posted in the selected period.
Have period Output of the credit values posted in the selected period.
Balance period Output of the balance of the debit and credit values posted in the selected period. If cost elements are output, the costs posted to the cost element in the selected posting period are displayed here. Furthermore, any difference between the balance of the Guv account and the sum of the costs of the corresponding cost elements is displayed here.
Opening balance Issue of the opening balance. Although an opening balance can be posted in different periods, the total balance of all opening values is always output here.
Shall kum. Output of the target values accumulated in the accumulated target values.
Have kum. Output of the cumulated credit values.
Total balance Output of the balance of "opening balance" plus "accumulated debit" minus "accumulated credit". If cost elements are output, the cumulative costs posted to the cost element are displayed here. Furthermore, any difference between the total balance of the Guv account and the sum of the costs of the corresponding cost elements is displayed here.
Totals Totals of debit, credit and balance values are output across all accounts and additionally separated into balance sheet and profit and loss accounts.
